Electronic Supply Chain Management and Accounts Payable

Workflow processes using Hyland OnBase Enterprise Content Management software (ECM) have been developed and implemented at Northern Marine Management Limited (NMM) to manage their entire tendering, procurement and payment process for ship owners and operators.

Why did they do this?

• Clients are based at sea and internationally.
• Manual methods for the request, requisition, delivery and payment of spares and sundries were not working efficiently.
• Paper mountains had built up – in offices and on ships.
• There was as high dependency on fax business processes.

Electronic networked fax had vastly improved this and enabled users at any location to send and receive faxes from their PC, without the need for fax hardware. But the procurement function and accounts payable was still paper intensive.

Now: Web enabled electronic ECM and workflow is integrated with Open Text Fax Server, RightFax Edition. This gives online access to everyone involved in the procurement to sign-off process access to all documents from any location – for lookup, edit and sign-off.
Purchase Invoices are scanned and then keyed in Mumbai, reducing the cost of Invoice processing.

How they did this:

• Avanquest designed complex workflow processes using Hyland OnBase.
• OnBase was integrated with Fax Server.
• Paper invoices are scanned and indexed into OnBase.
• The OnBase repository is accessed via a Citrix application and over the web and integrated with the back-office accounting package.
• Documents are held in native format so amendments and notes areeasily added – an electronic post-it note.
